1. Service provider and scope

The service provider is Tuomas Vainionpää, trading as Talvia Private Journeys, Business ID 3652519-1, Helsinki, Finland. Contact: tuomas@talviaprivatejourneys.com.

These terms apply to planning and consultancy services sold directly to consumers. The agreed quotation or order confirmation specifies the exact scope for each assignment.

2. Planning service only

Talvia creates recommendations, itineraries, timing, shortlists, practical guidance and direct links within the agreed scope. Talvia does not make travel bookings, receive traveler funds or become a party to contracts between the traveler and an accommodation, activity, transport or other provider.

The traveler remains responsible for checking and accepting each provider’s current price, availability, suitability, restrictions, insurance requirements and terms before booking and paying that provider directly.

3. Prices, ordering and payment

Consumer prices displayed on the website include applicable VAT. Any custom price, payment schedule and expenses are confirmed in writing before work begins.

An order is formed when the consumer accepts the quotation or order confirmation and any agreed advance payment has been received. Work begins when the required brief and payment conditions are complete.

4. The traveler’s brief

The traveler must provide accurate dates, party information, budget, preferences and any material restrictions needed for the plan. Talvia may rely on the information provided.

A material change to dates, destination, party, budget or requirements after work begins may require a revised fee or delivery date.

5. Delivery and revisions

Estimated delivery starts after Talvia receives the complete brief, required materials and agreed payment. Tailored plans are normally delivered in 5–7 business days and Signature plans in 7–10 business days; custom work follows the written quotation.

One revision round means one consolidated set of feedback sent at one time. The number of included revisions is shown with the service. New travel concepts or material brief changes are additional work.

6. Availability and third parties

Third-party prices, availability, operating dates, content and terms may change before booking. Talvia cannot guarantee weather, Northern Lights, road conditions, supplier performance or that a recommended option remains available.

If an option becomes unavailable during the planning period, Talvia will use reasonable care to suggest an alternative within the agreed scope, but any provider contract remains separate from Talvia’s service.

7. Booking walkthrough

Where included, a booking walkthrough is guidance by video call or screen sharing. The traveler makes, checks and pays every booking personally. A Signature service includes one 30-minute walkthrough; additional support is €125 per hour unless otherwise agreed.

8. Fourteen-day withdrawal right

For a distance contract, a consumer normally has 14 days from concluding the contract to withdraw. To withdraw, send an unambiguous notice to the contact email before the period ends.

If you expressly ask Talvia to begin during the withdrawal period and then withdraw before completion, you may have to pay a proportionate amount for work already performed. The withdrawal right may end after the service is fully performed only where you expressly requested early performance and acknowledged the resulting loss of the right. Mandatory consumer law always prevails.

9. Changes and cancellation after work begins

Outside mandatory withdrawal rights, cancellation after work begins is charged according to work reasonably completed and agreed non-cancellable costs. Talvia will explain the calculation and return any excess advance payment without undue delay.

Talvia may pause work if payment or essential information is missing, or if instructions are unsafe or unlawful. The traveler will be informed and given a reasonable opportunity to remedy the issue where appropriate.

10. Quality, complaints and liability

Talvia will perform the planning service with reasonable professional care and in line with the agreed scope. Please report a defect without undue delay so Talvia can investigate and, where appropriate, correct the planning service.

Talvia is responsible for loss caused by a breach of the planning contract as required by applicable law. Talvia is not responsible for independent providers or events outside its reasonable control. Nothing in these terms limits mandatory consumer rights or liability that cannot lawfully be limited.

11. Governing law and disputes

Finnish law applies, without removing any mandatory protection you have under the law of your country of residence. The parties will first try to resolve disagreements directly.

A Finnish consumer may contact Consumer Advisory Services and may refer a dispute to the Consumer Disputes Board. A consumer may also use any competent court available under mandatory law.
