01Before you book

Choose the dates and a realistic trip budget.Separate flights, accommodation, activities, transfers, meals and the planning fee.Choose a base around your main priority.Check the actual address, nearby food options and the meeting points you will use.Connect flights, accommodation and transfers.Check arrival and departure times, check-in, luggage and child-seat needs before committing.Check your must-do experience before fixing the rest.Ask the provider about dates, age limits, suitability and cancellation terms. Availability is not guaranteed.

02Build days that work

Leave room around one main activity.Count dressing, collection, the programme, meals and the return journey together.Confirm every transfer, including the return.Ask for the exact pickup point, time, price and contact. A remote stay needs a food and transport plan.Choose alternatives for weather changes.Check that alternatives work from your address and are open on your dates. Northern Lights are never guaranteed.Keep arrival and departure days light.Allow for delays, check-in, shopping and rest instead of a tight chain of prepaid departures.

03Before you travel

Check what clothing and equipment are included.Ask each provider what to bring and whether suitable sizes are available for your party.Keep provider confirmations and contacts together.Save meeting points, local contacts, payment details and cancellation terms where you can access them offline.Recheck opening hours and operating conditions.Holiday hours, transport schedules and snow-dependent programmes can change. Confirm with the provider.Make sure everyone knows the next morning’s plan.Keep the departure time, meeting point, clothing and meal arrangements easy to find.
